Founded in 1919, Zonta International is a global organization of executives and professionals working together to advance the status of women worldwide through service and advocacy. With more than 31,000 members belonging to more than 1,200 Zonta Clubs in 65 countries and geographic areas, Zontians all over the world volunteer their time, talents and support to local and international service projects, as well as scholarship programs aimed at fulfilling Zonta's mission and objectives.
Zonta International asked DMC's SharePoint Consultants to help them address their need for a secure Enterprise Document Management system. The solution would need to reduce reliance on email and the network drive, while simultaneously providing an efficient way for departments to communicate and collaborate more effectively.
In the first phase of this multi-phase initiative, DMC implemented SharePoint's Document Management Features (check-in/check-out, versioning, and metadata tagging), Search, and Team Sites (Collaboration, Project / Task Management, Alerts / Notifications, and Centralized Calendars). The most critical project activity was the definition of the a SharePoint site structure and governance strategy that focuses on establishing user groups with appropriate access levels for all areas of their site taxonomy.
The solution also took advantage of Office 2010's built-in SharePoint integration features, which allow users to save and retrieve SharePoint documents from within Word, Excel, and PowerPoint. Implementing Microsoft SharePoint has been a cost efficient way to address the document management gap in the organization.
Phase two of this project will include applying a business process workflow customized to automate the flow of activities associated with specific recurring events.
